Privacy Policy
Note: this document is a plain-English draft and is pending review by legal counsel. It is not legal advice.
This Privacy Policy explains how TryBuzzCall LLC ("we," "us") collects, uses, shares, and protects information through BuzzCall, our missed-call text-back service, and through this website, trybuzzcall.com.
BuzzCall is used by local plumbing and HVAC businesses ("Shops"). When you call a Shop that uses BuzzCall and the call is missed, BuzzCall texts you back on that Shop's behalf to collect your name and what you need, offer appointment times, take an optional booking deposit, and alert the Shop. In that role we process your information on behalf of the Shop you contacted.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile numbers and SMS opt-in data and consent are not shared with or sold to third parties or affiliates for marketing purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the service providers that help us deliver the messaging service (such as our SMS carrier provider).
1. Information we collect
From callers and customers of Shops
- Phone number and call details: the number you called from, the Shop number you called, the time of the call, and whether it was answered or missed.
- Name and job details you give us by text, such as your name, the problem you need help with (for example "water heater leak" or "AC out"), your address if you share it, whether the job is urgent, and your preferred appointment time or callback window.
- Message content: the text messages you send to and receive from the Shop's BuzzCall number.
- Booking and deposit records: the time slot you picked, booking status, deposit amount, and whether the deposit was paid or refunded.
- Payment information: deposits are paid on a secure checkout page hosted by Stripe. Your card number and other card details go directly to Stripe. We do not receive or store your full card number or card security code. We receive limited information from Stripe, such as payment status, amount, and a transaction reference.
From Shops (our business customers)
- Business name, owner or contact name, business phone numbers, email address, business hours and service details, and information needed for carrier (A2P 10DLC) texting registration.
- Subscription billing details, handled by Stripe (we do not store full card numbers).
- Emails you submit to our waitlist on this website.
From this website
- Our hosting provider may automatically log basic technical data, such as IP address, browser type, pages requested, and the date and time of a visit, for security and troubleshooting.
- We do not currently use advertising cookies or third-party analytics on this website.
2. How we use information
- To text you back after a missed call, collect your name and job details, and continue the conversation you started.
- To offer appointment times, hold a slot, send a deposit link, and send booking confirmations and related service updates.
- To alert the Shop you called with your name, phone number, job details, and booking status so they can call you back or do the job.
- To process deposits and refunds through Stripe.
- To honor opt-out (STOP) and help (HELP) requests.
- To provide, maintain, secure, and improve BuzzCall, including preventing fraud, abuse, and spam.
- To bill Shops, provide support, and send Shops service and account messages.
- To comply with law, carrier rules, and valid legal requests.
We do not sell personal information, and we do not use callers' information to send marketing messages.
3. How we share information
We share information only as described here:
- With the Shop you contacted. The Shop receives your name, phone number, job details, messages, and booking and deposit status so it can serve you. The Shop's own use of that information is governed by the Shop's own privacy practices.
- With service providers that process information on our behalf, under contracts or terms that limit how they may use it:
- Twilio, to send and receive text messages and route calls.
- Stripe, to process deposits, refunds, and Shop subscription payments.
- OpenAI (optional, only for Shops that turn it on), to help write natural replies in the text conversation. When enabled, message text and job details from the conversation may be sent to OpenAI to generate a reply.
- Our website and server hosting provider.
- For legal reasons, if required by law, subpoena, or other legal process, or to protect the rights, safety, and property of you, a Shop, TryBuzzCall, or others.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.
As stated above, mobile numbers and SMS opt-in data and consent are never shared with or sold to third parties or affiliates for their marketing or promotional purposes.
4. Text messages and opt-out
BuzzCall texts are conversational replies to a call you placed to a Shop. See How text consent works and our SMS Terms. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop messages from that Shop's number, or HELP for help. After you reply STOP you will receive one confirmation message and no further texts unless you opt back in (for example by replying START).
5. How long we keep information
- Caller, message, and booking records are kept while the Shop's BuzzCall account is active so the Shop can follow up on jobs, and are deleted or de-identified within 90 days after the Shop's account ends, unless a longer period is required by law or to resolve a dispute.
- Opt-out records (the fact that a number replied STOP) are kept as long as needed to keep honoring the opt-out.
- Payment and billing records are kept as long as needed for tax, accounting, and chargeback purposes. Stripe keeps its own records under its own policies.
- Waitlist emails are kept until you ask us to remove them or we stop the waitlist.
6. Security
We use reasonable administrative, technical, and physical safeguards, such as encrypted (HTTPS) connections, access controls, and password-protected admin tools. Payment card details are handled by Stripe, not stored by us. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your choices and rights
- Stop texts: reply STOP to any BuzzCall message.
- Access, correct, or delete: you can ask us for a copy of the information we hold about you, or ask us to correct or delete it. Because we process caller information on behalf of Shops, we may work with the Shop you contacted to respond. We may keep information where we must by law, to complete a booking or refund, or to honor an opt-out.
- State privacy rights: depending on where you live, you may have additional rights under state law, such as to know, access, correct, or delete personal information, and to not be discriminated against for exercising these rights. We do not sell personal information or share it for targeted advertising.
To make a request, contact us using the details below. We will verify your request, for example by asking you to confirm from the phone number involved, and respond within 45 days.
8. Children
BuzzCall and this website are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
9. Changes to this policy
We may update this policy from time to time. We will post the new version on this page and change the "Last updated" date. If we make material changes, we will provide additional notice where required.
